What is your personal data?
Personal data relates to a living individual who can be identified from that data. Identification can be by the information alone or in conjunction with any other information in the data controller’s possession or likely to come into such possession. This can be your personal address which I need for tax reasons, or any information about yourself, relatives, ancestors or friends which may be contained in a document that I transcribe and/or translate for you.
How will I process your personal data?
The processing of personal data is governed by the General Data Protection Regulation (the ‘GDPR‘). As a Sole Trader, I will comply with the obligations under the GDPR by storing and destroying your personal data securely where I need to do so for translations, transcriptions and translation-related services, for maintaining accounts, invoicing and record-keeping. I will comply with the GDPR by not collecting or retaining excessive amounts of data; by protecting personal data from loss, misuse, unauthorised access and disclosure and by ensuring that appropriate technical measures are in place to protect your personal data.
What is the legal basis for processing your personal data?
I will process your data where this is necessary for the performance of a translation and/or transcription contract. I will keep this data for as long as I am required to do so by law, i.e. for tax purposes, which I usually do for a minimum of six years. Should I be required to disclose any of your data by law, e.g. for a criminal investigation, I will oblige. For any other circumstances of sharing your data with third parties I will seek your consent. You do have the right to be informed of any personal data held by me, and to request that I change any information about you that is found to be inaccurate or out-of-date. You do have the right to make a complaint to the Information Commissioner’s office at https://ico.org.uk/.
